1. Temporal availability of the event rooms

The event rooms are available to the organiser for all-day events on weekdays from 8 am to 5 pm and on Saturdays from 8 am to 3 pm. The hotel reserves the right to use these premises on weekdays from 6 p.m. and Saturdays from 4 p.m. for further evening events.
The event room can be set up the day before from 8 p.m. at no additional cost. If the organizer wishes to use the event room before 8 p.m. for furnishing, a room rental fee will be charged.

2. Number of Participants

The definitive number of participants must be announced 14 days before the event.

2.1 No-Show

Deviations of more than 5 % of the number of participants confirmed up to 24 hours before the start of the event will be charged at 100 %. This applies to booked hotel rooms, ordered menus as well as packages.

2.2 Cancellation and No-Show Regulations

In the event of cancellation of a definitively confirmed seminar, a written notification is required. The following costs will be charged:

  • no costs up to 60 days before the event
  • 59 to 30 days before the event 25 % of the daily packages including hotel rooms
  • 29 to 15 days before the event 50 % of the daily packages including hotel rooms
  • 14 to 7 days before the event 75% of the daily rates including hotel rooms
  • within 1 week before the event 95 % of the daily packages including hotel rooms

The basis for invoicing is the number of participants and the duration of the seminar, which is stated in the final confirmation of reservation.

3. Overnight stay

A definitive and detailed list of names and rooms must be sent to the hotel at least 14 days before arrival. If the confirmed number of participants is exceeded, prior consultation with the hotel is required. Payment instructions for hotel rooms and extras must also be included in this list.

3.1 Check in / Check out

Check in from 3 p.m. Check out until 12 noon

3.2 Early Check in / Late Check out

The price for a guaranteed early check in a reserved room is 100 % of the room price. If available, the Early Check in from 10 a.m. one day before arrival or the Late Check out until 6 p.m. on the day of departure can be booked at the following surcharge:

  • Monday to Thursday: CHF 108 in a single room CHF 138 in a double room
  • Friday to Sunday: CHF 118 in a single room CHF 158 in a double room

4. Distribution of gifts

Gifts or documents for distribution to hotel rooms must be handed in at the reception desk. If the gifts are provided by 11 a.m. on the day of arrival of the participants, they will be distributed to the booked rooms free of charge by 3 p.m.. The hotel charges CHF 3 per room for gifts that are distributed to the rooms outside this time.

5. Parking spaces

The surrounding parking spaces are available to hotel guests free of charge. It is not possible to reserve these parking spaces. Parking cards for the entire duration of the stay can be obtained at the reception desk. Parking spaces in the parking garage can be reserved for CHF 15 per night. There are also 4 Type 2 charging stations with 32A charging current available in the underground car park, 2 of which are specially designed for Tesla vehicles.
The hotel has two in-house bus parking spaces.

6. Smoking

All event rooms, public areas and hotel rooms are smoke-free. Smokers can use the Smokers-Lounge next to the hotel lobby.

7. Additional construction or dismantling work

The hotel will furnish the event rooms as agreed in advance. Additional expenses for additional set-up, conversion or dismantling work will be charged at CHF 69 per employee hour.

8. Disposal

The organiser may have the hotel dispose of any remains of decorative material or documents after an event. The hotel reserves the right to charge a disposal fee for larger quantities.

9. Liability

The Organiser shall be liable to the Hotel for damage to the equipment or inventory and for losses caused by the Organiser, its assistants or participants.
In order to prevent damage, the installation of decorative materials and other objects must always be coordinated with the hotel. In any case, the organiser must ensure that the material complies with fire police requirements.
Guarded cloakrooms will only be made available on request and will be charged at CHF 69 per employee hour.
The hotel declines all responsibility for theft and damage to objects, clothing and materials brought along.

10. Payment conditions and prices

All prices are in Swiss francs (CHF) and include service and VAT. The hotel charges in Swiss francs. Prices in Euro are approximate and will be charged at the exchange rate of the day.
The hotel reserves the right to request a down payment for orders over CHF 5,000. The reservation becomes final only after receipt of this. If the event is cancelled within the cancellation period, the deposit will not be refunded.
In the case of a billing address abroad, the confirmed service will be invoiced 100 % in advance (advance payment 30 days before arrival) or charged to the credit card.
Invoices must be paid within 15 days of the invoice date. No discounts or rebates are granted.
If individual services are to be paid for by the participants themselves, the hotel shall collect the services received on site. If this is not possible for any reason, the organiser is obliged to bear the costs unless he can provide a valid billing address for the participants.

11. Applicable law and place of jurisdiction

Swiss law applies exclusively. Place of jurisdiction is Meisterschwanden.
